1. Introduction
1.1 This policy explains how PIANC UK gathers personal data, how it stores that data, with whom it is shared and how it is used. It is in two parts: –
(1) personal data submitted for the purposes of applying for membership of PIANC UK, and (2) personal data submitted for the purposes of attending PIANC UK events.
1.2 PIANC UK is a private limited company by guarantee, (No 05511283), with a registered office at One Great George Street, London, SW1 P 3AA. PIANC UK is the British Section of PIANC (The World Association for Waterborne Transport Infrastructure), based in Brussels, that is referred to in this Policy as ‘PIANC International’.
1.3 PIANC UK reserves the right to amend this Policy from time to time without prior notice. You are advised to check the PIANC UK website regularly for any amendments.
1.4 PIANC UK will always endeavour to comply fully with the General Data Protection Regulation (GDPR) when dealing with personal data.
2. Personal data held for membership purposes
2.1 PIANC UK is a membership organisation and it keeps records of its members, including personal data. Membership applications and renewals for PIANC UK are gathered and processed on behalf of PIANC UK by the Institution of Civil Engineers (ICE). The following personal data are held:-
- Name
- Employer’s name (if appropriate)
- Contact postal address
- E-mail address
- Phone numbers
- Date of birth
- Details of subscription payments
2.2 Personal data are held by the ICE on behalf of PIANC UK. Access to that personal data is available only to selected ICE staff and selected members of the PIANC UK Committee for use solely in connection with the administration of PIANC UK and for notifying members of PIANC events and activities.
2.3 The personal data are also shared by the ICE, acting on behalf of PIANC UK, with PIANC International in Brussels, for the purpose of maintaining a record of the entire global membership. This also enables access to be provided to those membership benefits that are administered by PIANC International and enables PIANC International to forward to members news of PIANC International’s activities. Members’ names and contact details are included in the International PIANC Membership Directory which is maintained by PIANC International and made available to members if the member grants permission for this.
2.4 A member may check the accuracy of the data regarding herself/himself held by PIANC UK by requesting a copy by e-mailing pianc@ice.org.uk.
2.5 Corporate members of PIANC UK will have provided personal data of designated members of their staff when they became corporate members of PIANC UK. PIANC retains and uses these personal data in the same way as the data of individual members. Representatives of both the corporate members and the designated individuals may check the accuracy of this personal data as above.
2.6 PIANC UK and PIANC International publish, from time to time, newletters and annual reports. These may include photographs of PIANC UK members at PIANC events. Members may withdraw their consent for their photographs being included in such publications by advising the PIANC UK Secretariat.
3. Personal data held in relation to PIANC UK events
3.1 The majority of PIANC UK events are organised by the ICE on behalf of PIANC UK. During this process, the ICE uses a booking system that requires attendees to provide personal data. During some events, an attendance record is available for signature, requesting name, organisation and e-mail address. PIANC UK will use this data for the issue of CPD documentation if requested by the member.
3.2 The ICE retains this data and uses it in accordance with its privacy policy.
4. PIANC UK Website
4.1 If you use the PIANC UK website, the Webmaster will collect data from your visit to understand better what visitors want from the site. The experience will then be used to enhance the site for other members of PIANC UK.
4.2 In following links on the PIANC UK site to third parties, you will be leaving the scope of this Privacy Policy. The privacy policy and terms of those sites visited will apply.
4.3 PIANC UK uses cookies in its website. Be aware that cookies can be turned off, however, by refusing cookies you may not be able to benefit from some of the features on this site. 5.2 PIANC UK, through the ICE, uses a recognised online secure payment system for any payments you make to it.
5.4 PIANC UK will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.
6. Who else has access to the information you provide us?
6.1 PIANC UK will never sell your personal data. We will not share your personal data with any third parties without your prior consent (which you are free to withhold), other than with PIANC International in Brussels.
6.2 PIANC UK will not pass your personal data to third parties, other than the ICE, who are service providers, agents and subcontractors.
7. How long does PIANC UK keep your information?
7.1 PIANC UK intends to hold personal data in order to maintain and preserve a record of the historic activities of the Association which has run since 1885. Members may request that their personal details are deleted when they cease to be members. The ICE, on behalf of PIANC UK, will, if requested when a member ceases to be a member, delete the data it holds, request PIANC International to do the same and confirm, on behalf of PIANC UK, to that individual in writing that both these actions have been carried out, within one calendar month of such a request being received.
8. Your Rights
8.1 The purpose of this Privacy Notice is to fulfil your right to be informed about the use of your data.
8.2 A member may check the accuracy of the data regarding herself/himself held by PIANC UK and the ICE by e-mailing such a request to pianc@ice.org.uk.
8.3 A member has the right to have his/her data rectified if it is inaccurate or incomplete. He/she also has the right to have his/her personal data deleted or removed if there is no reason for its continued storage and processing.
8.4 A member has the right to object to his/her personal data being processed and to restrict the processing of such personal data in certain circumstances. While processing is restricted, the data controller is permitted to store the personal data to ensure the restriction is respected in future. A member will be informed if a restriction on processing is lifted.
8.5 A member has the right to lodge a complaint about the data controller with the ICO.
8.6 Corporate members of PIANC UK will have provided personal data of designated members of their staff when they became corporate members of PIANC UK. PIANC UK retains and uses this personal data in the same way as the data of individual members. Representatives of both the corporate members and the designated individuals may check the accuracy of this personal data as above.
8.7 Individuals who have provided their personal data to PIANC UK for the purposes of attending a PIANC UK event have similar rights to those listed above for members in Paragraphs 8.1 to 8.5.
